Effective Date: 1/1/26 · Last Updated: 1/1/26

Clearwork Solutions ("Company," "we," "our," or "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our services. By using our website or services, you agree to the terms of this Privacy Policy.

1. Information We Collect

We may collect the following types of information:

A. Personal Information. Information you voluntarily provide to us, including: full name, email address, phone number, company name, billing information, and any details submitted via contact forms, booking forms, or consultations.

B. Business Information. When providing workflow, automation, CRM, or system consulting services, we may receive: full CRM configuration details, automation data structures, business process documentation, and software access permissions (if granted by you). We only access what is necessary to perform the agreed services.

C. Automatically Collected Information. When you visit our website, we may automatically collect: IP address, browser type, device type, pages visited, referring URL, and usage data. This data is used for analytics and performance improvement.

2. How We Use Your Information

We use collected information to: provide and deliver our services, respond to inquiries and consultation requests, improve website performance and user experience, process payments and manage billing, send important service updates, maintain security and prevent fraud, and comply with legal obligations. We do not sell your personal information.

3. Cookies & Tracking Technologies

We may use cookies, pixels, and tracking tools (such as Google Analytics or similar services) to understand website traffic, improve marketing performance, and analyze visitor behavior. You can disable cookies in your browser settings. Some features may not function properly without them.

4. Third-Party Services

We may use trusted third-party platforms to deliver our services, including but not limited to CRM platforms, automation tools, payment processors, cloud hosting providers, and analytics tools. These third parties process data according to their own privacy policies. We only work with reputable providers that maintain industry-standard security practices.

5. Data Sharing & Disclosure

We do not sell, rent, or trade your personal information. We may share information only when: required by law, working with authorized service providers under confidentiality agreements, necessary to provide contracted services, or protecting legal rights or preventing fraud.

6. Data Security

We implement reasonable technical and organizational safeguards to protect your information, including secure hosting environments, encrypted data transmission (HTTPS), and limited internal access controls. However, no system is 100% secure. We cannot guarantee absolute security.

7. Data Retention

We retain personal information only as long as necessary to provide services, fulfill legal and accounting requirements, and resolve disputes. When data is no longer needed, it is securely deleted or anonymized.

8. Your Privacy Rights

Depending on your location, you may have the right to request access to your data, request correction of inaccurate data, request deletion of your data, object to certain data processing, and withdraw consent. To exercise any of these rights, contact us at: [email protected]

9. International Data Transfers

If you access our services from outside our primary operating country, your information may be transferred and processed in other jurisdictions where data protection laws may differ. By using our services, you consent to such transfers.

10. SMS Consent

Our SMS consent is obtained via verbal opt-in during the customer onboarding or service call, and we also confirm it via email before sending any outbound texts.

Where and how consent is obtained. Verbal consent is collected during a live call with an existing customer when we set up service or status updates by text. Email confirmation is sent immediately after the call, a short confirmation email, and we only begin texting after the customer replies "YES" to that email.

Verbal consent script (used on the call): "Before we send you any service or status updates by text, can I get your permission to text you at [PHONE NUMBER] from Clearwork Solutions? Texts are for service updates only, message frequency varies, and standard message and data rates may apply. Consent is not required to receive service. You can opt out anytime by replying STOP. Do you agree?" If the customer agrees, we confirm: "Great. To confirm, you're opting in to receive service or status texts at [PHONE NUMBER]."

How consent is logged. When consent is granted, we log it in our CRM or customer record with: customer name, phone number, date and time of consent, staff member who collected it, consent method noted as "verbal opt-in on call," and a consent flag set to "SMS Opt-In: Yes." We also attach the email confirmation (customer reply "YES") to the same customer record.

11. Updates to This Privacy Policy

We may update this Privacy Policy periodically. Updates will be posted on this page with a revised "Last Updated" date. We encourage you to review this page regularly.
